Job Title: Head of Events 

Salary: £60K - £75K + bonus DOE 

Office Hours: Full Time: 9am – 6.00pm / 8am – 5pm 

Office Location: Central London (approx. 3 days a week in office) 


About this Role

We are looking for a highly talented Head of Events to lead our clients team. They require a candidate with a creative flair, solid event production knowledge and luxury brand experience gained in an agency environment OR Looking for someone who has both the UHNWI know how + experience as well as luxury brand and dry hire / showcase experience.  Our clients are a creative agency so are looking for an individual with an aptitude for creative development who can lead both logistically and on the design side. The ideal candidate needs to have an outgoing and fun personality with a high level of attention to detail. 

About our client:

They produce bespoke events for luxury brands, finance companies and private clients. Their portfolio of clients including Cartier, Moët, Rolex, Condé Nast, Marriott, Dom Perignon and a selection of high-profile UHNWI private clients. 

About You:

The ideal candidate will be an experienced Senior Manager from the Events industry with experience in handling high-end accounts and leading teams in a fast-paced agency. We are also open to seeing people who have run large events for UHNWI/Corporates and managed the accounts. We are looking for someone with confident to hold your own and run with ideas and contribute to all areas of our clients business.

You should be an ambitious and highly motivated individual with a creative and commercially astute approach to event management. You should possess exemplary experience in project management, negotiation and team management, and you will be able to demonstrate a proven ability to build strong client relationships and provide valuable creative counsel. 

You should have extensive experience working with high-profile brands as well as UHNW private clients. Applicant must have experience analysing and building budgets for all types of events including supplier liaison for production (lighting, sound, AV), marquee, catering, design, venue liaison, floral entertainment and be confident to be fully responsible for all events and must have managed budgets over £1 million. 

Role of Head of Events

Brand, Creative & Experiential Production Expert 

The role will encompass managing the Events Team, overseeing the delivery of all events, to lead on new business development and retention, client and supplier relationships, and manage all business processes relating to events.

The role will include, but not limited to: 

Event and Team Management

  1. Oversee all events and work with the team on all client accounts

  2. Manage the whole event team, interns & freelancers regarding day-to-day productivity, client management and event delivery including budgets, timelines, production schedules, running orders, mood boards, etc, giving feedback and advice, having well rounded knowledge on production. catering, styling, etc

  3. Oversee the team’s delivery, organisation and completion of detailed documentation for events

  4. Ensuring events are they are on brand and delivered to a high standard, including managing the overall creative process from pitch to delivery

  5. Overseeing all events on-site, including the team’s management of the installation, duration and loadout of the event

  6. Ensure insurance, legal, health and safety obligations are adhered to on-site

  7. Lead regular Monday morning team meetings

 

New Business, Client Management and Retention

  1. Leading on all presentations and pitches to clients and prospective clients and liaising with clients to ascertain their precise event requirements. 

  2. Oversee all enquiry responses adhere to pricing policy and processes

  3. Controlling budget parameters for events, negotiating and navigating fee and cost structures for new clients

  4. Preparing and managing client contracts

  5. Maintain relationships with clients, venues and suppliers - Support producers with client management and communication and ensure relationships are maintained throughout the planning process 

 

Business Management

  1. Manage the jobs diary (Master Events doc) and ensure cover for all jobs and pitches – ensuring all freelancers are budgeted for correctly for each project.

  2. Budgets - sign off all event budgets. Ensure budgets are regularly updated on sales forecast and oversee the closing of an event

  3. Oversee/check invoicing

  4. Produce ongoing event sales forecasts to MD

  5. Develop, maintain and implement event processes. Championing them with the rest of the team to ensure operational efficiency and effective event delivery

  6. HR – specifically for the planning team including holiday planning, disciplinary issues etc. (with MD)

  7. Manage event team salaries/payroll bonuses

Company is a small team of 10 pax and the role has come about as current Head of events is moving into the MD role. The setup (roughly) is:

1 junior creative

1 senior creative

1 Sales person + assistant

Bonus's are in April and 2 weeks off at xmas for Soho Farmhouse / Wilderness company retreats.
